Roq Supports Implementation of GDPR Compliance Tool, Saving an Estimated £337k per Year

Roq's Client

The Client is a British multinational law firm which employs over 3000 lawyers across the world. Roq has been delivering a managed test service for this client for eight years.

The Challenge

The client was experiencing an increase in demand for redacting specific information in relation to legal documents. The need stemmed from GDPR requirements, which means that certain information contained in the legal documents needed to be redacted for legal purposes.

Therefore, Roq's client wanted a solution that enabled them to redact documents at a lower cost, higher speed and to improve the overall service to their clients.

The client was previously using PDF software which took on average 9-15 minutes to redact per document. In the long term, this is a costly exercise given the amount of time it was taking lawyers to complete a basic task.

Roq’s Solution

The client felt that Roq could help deliver this solution because of the longstanding relationship they hold. Roq has an in-depth understanding of how client test processes work in terms of utilising DevOps, requirement analysis and creating test scripts. The client also values the upholding of Roq values and Quality Engineering principles during stakeholder meetings, ensuring that transparency and quality is achieved.

Roq used their knowledge of client environment to work with the client to determine a third-party solution which would assist them in redacting specific information from key legal documents.

The value this tool provides the client with includes but is not limited to:

1. Reduction in time taken to redact documents – Time saving of 35%

2. Revenue Increase – Having a service that is in-house rather than outsourced, lawyers can focus on delivering higher value work instead of redacting documents - Huge estimated saving of £337,500

3. Enhancing the Client Experience – Reducing the turnaround time on redaction tasks. Eradicating the potential risk of human error via manually redacting documents, which means the tool is enhancing the security and quality of the documents/work items.

Roq worked with the client stakeholders to identify which requirements of the tool needed testing and also created a tool-specific regression pack which can be used for every future release, leaving the client in a better place to combat any future releases without additional Roq support.

The Test cases were formulated within Azure DevOps and cover a wide spectrum of functionalities such as:

1. Regression suite that covers all of the persona scenarios – As a User/Administrator/Project Administrator

2. New requirements for new functionality of the tool (post mid-project update to the tool) – This ensured that the test scripts were robust, reusable and accurate to the up to date environment

3. Performance based testing – Test team incorporated stopwatch tests across 3 different geographical locations which includes Frankfurt, New York and Tokyo.

The Outcome  

The latest version of the tool has not yet been released into the production domain; however, the main estimated benefit is a huge 35% reduction in redaction time.

Another forecasted metric is an increase in revenue, as Lawyers will be able to allocate their time to complete other chargeable work. It is estimated that with 100% utilisation of the tool that the client will save £337,500 Per year.
